HOW TO PREPARE FOR YOUR FINAL WALKTHROUGH

You are officially on the final stretch with roughly 30 days out from your big day! After months (or even years!) of planning, every details you have thought about and decision you have made is about to come to fruition.

The venue final walk through will be the last time you are onsite before your rehearsal or wedding day. This is the time to ask any final questions and clarify last minute details.

Your venue will also have a plethora of details to discuss, so use this as a guide so you can know what to expect.

1. Bring your updated guest count

With an in-house bar and venue provided tables/chairs/linens we will need to chat through an updated guest count to create an updated invoice and layout. Bring the most updated number you have, but the final number isn’t due until two weeks before your wedding so you will have time to call those RSVP stragglers.

2. Be prepared with a table/chair count

The tables Hawthorne House provides includes cake table, guest book/gift table, guest tables, head table, etc. If you know where you would like the tables to be placed and/or the size of the tables (we carry 48”, 60”, 6’ and 8’ options) feel free to bring a list! We are certainly able to walk you through options while we’re in the space if you don’t have a preference. Based off your updated guest count we can help determine the guest table count if you don’t already have that determined, but we will ask if you want 8 chairs, 9 chairs or a variety of chairs placed per guest table. Having this table count will also help you with your final floral order regarding centerpieces!


3. Have a list of your vendors and their contact information

This is the umpteenth time you’ll be sharing this information with someone throughout your planning process, so open up a word document  or GoogleDoc and as you book, keep a list of the name of the company, day-of contact and contact information. Print a copy and bring it to your final walk through so you don’t have to run through each and every category for the millionth time.

4. Know what décor you are bringing in (including send off items)

At Hawthorne House, the general rule of thumb is don’t damage the property BUT our Team Leads will ask for a breakdown of the décor you are bringing in to be sure nothing is a breach of contract. This includes send off idea/items- all send offs at Hawthorne House must get approved prior to the day of in order to best prepare our team. We would much rather have that discussion a month out rather than the day-of 😊
